Rental terms & conditions

1. Agreement

These Rental Terms & Conditions form a binding agreement between VReal Solutions ("we", "us") and the person or organisation placing the booking ("you"). By accepting these terms and paying a deposit you confirm you are at least 18 years old and authorised to enter this agreement.

2. Booking, deposit and holds

Submitting a booking places a temporary hold on the requested headsets. The hold expires automatically if the deposit is not paid within the hold window shown at checkout.

A deposit is required to confirm every booking. The remaining balance is due on delivery unless we agree otherwise in writing. Prices are quoted in Canadian dollars and exclude applicable taxes unless stated.

3. Equipment and care

All Meta Quest 3 headsets, controllers and accessories remain our property at all times. You agree to keep the equipment in a dry, indoor, smoke-free environment and to use it only for its intended purpose.

You may not modify, reset, factory-wipe, install unauthorised software on, sub-rent or transfer the equipment.

4. Damage, loss and cleaning

You are responsible for the equipment from delivery until pickup. Damage beyond normal wear, loss or theft is charged at replacement cost plus any lost-rental revenue.

Excessive soiling that requires deep cleaning may incur a cleaning fee. Facial interfaces and hygiene covers are sanitised between rentals.

5. Delivery, setup and pickup

Delivery windows are estimates. Someone aged 18 or over must be present at the delivery address to receive, and later return, the equipment.

You must provide at least 3 sq ft of clear, obstacle-free play area per headset, adequate lighting and access to power and Wi-Fi where required for the selected titles.

6. Health and safety

Virtual reality can cause motion sickness, dizziness, eye strain, disorientation or seizures in a small number of people. Users should take a break every 30 minutes and stop immediately if they feel unwell.

VR is not recommended for children under 13, for anyone pregnant, or for anyone with a heart condition, epilepsy, balance disorder or binocular-vision condition, without medical advice.

You agree to brief every participant on the play boundary and to supervise minors at all times.

7. Content and age ratings

Titles carry age ratings shown in our catalogue. You are responsible for ensuring participants only play age-appropriate content. Premium titles carry a per-booking licence fee.

8. Cancellations and changes

Cancellation refunds follow the schedule shown on your booking summary, measured from your start time. Deposits for cancellations inside the final window are non-refundable.

Date changes are subject to availability and must be requested at least 24 hours before your start time.

9. Liability

To the fullest extent permitted by law our total liability arising from a booking is limited to the amount you paid for that booking. We are not liable for indirect or consequential loss, including lost event revenue.

You indemnify us against claims arising from your use of the equipment, including injury to participants and damage to third-party property.

10. Privacy

We collect only the contact and delivery details needed to fulfil your booking, and retain them for accounting and support purposes. We never sell your data. Headsets are wiped of user accounts and gameplay data between rentals.

11. Governing law

This agreement is governed by the laws of the Province of Manitoba and the federal laws of Canada applicable therein. Any dispute is subject to the exclusive jurisdiction of the courts of Manitoba.

12. Acceptance
